Payroll Retirement Specialist

POSITION SUMMARY

  • Seeking a Payroll Retirement Specialist to perform all CalSTRS and CalPERS state retirement reporting for approximately 22 client schools.
  • Prior school district, charter, county office of education, or state retirement experience required.
  • Prior public school or non-profit financial experience and/or HR/PR experience a plus but not required

ESSENTIAL DUTIES AND RESPONSIBILITIES
(other duties may be assigned)

  • Representing the firm professionally in telephone, e-mail, and in-person contacts in an office setting; primary client/county contact will be by telephone and e-mail.
  • Perform specialized retirement reconciliations and reports for State Teachers’ Retirement System (STRS), Public Employees Retirement Systems (PERS), for client schools.
  • Performing other related duties as assigned and as consistent with a small office.

QUALIFICATIONS

  • Two (2) years direct prior payroll and or state retirement experience required.
  • General computer proficiency, particularly Excel, required.
  • Advanced computer proficiency with Excel, Acrobat, and accounting software. required.
  • Experience with state/county/local Government Retirement Reporting a plus.

EDUCATION

  • High school diploma required.
  • AA or 4-year degree a plus but not required.
  • Courses in bookkeeping, accounting, office management, business, and related subjects helpful.

Payroll Specialist

 

POSITION SUMMARY

  • Seeking a Payroll Specialist to perform all payroll-related functions for 3-6 client schools.
  • In-house payroll experience required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Preparing and distributing monthly and semimonthly payroll runs for 3-6 client schools, each with 15-100 employees, using in-house computerized payroll system.
  • Preparing and submitting monthly and semimonthly state CalSTRS/CalPERS retirement reports and payments for 3-6 client schools, using in-house computerized payroll system.
  • Tracking and filing all payroll tax deductions and filing quarterly and annual  payroll tax returns including EDD and IRS.
  • Assisting with initial hiring, benefits, and final severance paperwork.
  • Advising clients regarding on-going personnel policies.
  • Maintenance of client files, records, and procedures (including confidential personnel and legal records).
  • Representing the firm professionally in telephone, e-mail, and in-person contacts in an office setting; primary client contact will be by telephone and e-mail.

School Business Associate

POSITION SUMMARY

We are seeking a School Business Associate to join our Finance Team, which oversees and maintains the overall fiscal condition of our client schools. In this role, you will be working collaboratively with our AP, Payroll, and Admin Teams as well as the School’s management and governing board. School Business Associates provide critical support and assistance to our CFO and Client Fiscal Services Directors by maintaining up-to-date and accurate financial information for our client schools, as well as assisting our schools with other reporting, compliance, and related client needs.

As a School Business Associate, you are expected to be a sharp, capable, self-sufficient individual with an entrepreneurial mindset. In this position, core competencies include attention to detail, Microsoft Excel proficiency, and financial analysis skills with the ability to think independently and creatively to ensure our schools succeed. A successful School Business Associate can count on advancement opportunities to a Client Fiscal Services Director within 2-3 years. This leadership position in the Finance Team serves as a direct liaison with our clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Work closely with Finance Team members to ensure our client schools have accurate and up-to-date fiscal information.
  • As a member of the Finance Team, actively participate in improving and refining our services to our client schools through regular meetings, snapshots, and projects.
  • Work collaboratively and interactively with other School Business Associates and other DMS staff to ensure accuracy of all DMS output, including payroll and AP data, to our client schools.
  • Assist senior Finance Team members with preparing and updating monthly financial reports for client schools.
  • Monitoring client school budget vs. actual activities and ensuring budget compliance and coding accuracy, working together with client school staff and DMS Teams.
  • Completing and filing various compliance reports, including state budget reports, grant expenditure reports, and other state and federal reporting requirements as needed.

Accounts Payable Specialist

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinating receipt and payment of invoices for 3-6 client schools, using in-house computerized accounting system.
  • Working with on-site finance staff to ensure accurate and timely payments and tracking of payments for all clients.
  • Coordinating remotely with school staff and vendors regarding payment approvals, purchase orders, receiving, and payment status via e-mail and phone.
  • Maintenance of client files, records, and procedures (including confidential personnel and legal records) — AP Specialists have administrative support to handle copying/ scanning/ filing.
  • Performing bank reconciliations and entering deposit information into accounting system as needed.
  • Completing and filing various compliance reports, including Use Tax and Property Tax Exemption Reports.
  • Advising clients regarding payables best practices, policies, and procedures.

Support Specialist

POSITION SUMMARY

We are seeking a Support Specialist to work collaboratively with and provide ongoing and special task support for the Accounts Payable and HR/Payroll Teams, their assigned client schools and the company.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Collaborate with the Accounts Payable team to send, enter and/or process purchase orders, change orders and invoices.
  • Conduct banking and payroll liability reconciliations.
  • Collaborate with the HR/Payroll team to maintain up to date payroll and personnel data for client school employees and assist in payroll preparation.
  • Assist in initial client hiring documentation, state retirement reporting and employee benefit reconciliations.
  • Assist in preparation of reports and returns required by local, State and Federal agencies.

Client Fiscal Services Director

POSITION SUMMARY

40+ person consulting firm providing business and administrative services to public charter schools is seeking an additional Client Fiscal Services Director to assist in financial and operational oversight and support for client schools, joining a twelve-person Finance Team. Relevant financial experience required. Prior school, governmental or non-profit financial experience a plus but not required. GENERAL DESCRIPTION OF POSITION

Works with clients as primary liaison, resolving escalated issues, preparing financial reports, and attending client meetings to present and discuss financial information. Responsible for development of client budgets and regular financial update reports. Provides monthly financial reports to clients. Monitors client reporting compliance and assists in filing completion when necessary. Understands and provides guidance to other staff regarding accounting and financial recordkeeping principles and procedures. Maintains position management and provides up to date budget staffing estimates as needed. Coordinates annual audit paperwork for client schools.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Primary client management liaison with client school management and governing board.
  • Primary responsibility for developing and updating school budgets for 6-8 client schools.
  • Reviewing budgets and actuals for all schools on an ongoing basis for accuracy and proper coding, entering adjusting journal entries as needed.
  • Working collaboratively and interactively with DMS staff, including existing Finance Team members.
  • Support and oversee AP and Payroll Staff with timely processing of AP and Payroll tasks required for overall budget management.
  • Preparing monthly financial reports using Excel template for each school, including statement of activities (P&L/income statement), balance sheet, and monthly cash flow statement.
  • Analyzing budget trends and patterns and advising client schools of developing variances between budgets and actuals.
  • Creating new budget codes as needed at request of client schools. Work closely with Finance Team to ensure proper budget controls are in place.
  • Reviewing and approving outgoing payment batches and incoming cash receipts prepared by AP/Payroll staff.
  • Completing and filing various compliance reports, including state budget reports, grant expenditure reports, and other state and federal reporting requirements.
  • Representing firm and client schools professionally in telephone, e-mail, and in-person contacts in an office setting; primary client contact will be by telephone and e-mail.
  • Performing other related duties as assigned.

QUALIFICATIONS TO BE SUCCESSFUL IN THIS ROLE

  • General understanding of accounting and finance, school experience a plus.
  • Experience with computerized accounting software.
  • Experience and/or training in client contact and support.
  • Experience in General Ledger and Chart of Accounts management including experience with journal entries, especially school or non-profit systems.
  • Extensive experience with Excel.
    General computer proficiency — Microsoft Office (Word, PowerPoint, Outlook), Adobe Acrobat, Internet research, etc.
  • Experience working with schools a plus, especially charter schools. 

EDUCATION

  • 2-year or 4-year college degree required.
